Who is responsible?

When you contact me
The enquiry form collects your name, email, optional business and phone details, timeline, selected services or extras, and your message. It also records a reference, submission time and the version of this notice. Please do not include payment details, passwords, health information or other sensitive personal information.
Why this information is used
Enquiry information is used to understand your request, respond and prepare a quote. Where you are considering a contract with me, the lawful basis is taking steps at your request before a contract. For business representatives and general questions, the basis is legitimate interests in handling enquiries and running the business. Enquiries are not automatically added to a mailing list. There is no automated decision-making or profiling in the contact form.
Security and spam prevention
The form checks requests on the server, uses a time-limited security token and applies limits to repeated submissions. A daily-changing hash of an IP address may be stored for a short period to limit spam; the raw IP address is not added to the enquiry record. Hosting providers may process IP addresses and technical logs to deliver and secure the service. The basis for security processing is legitimate interests in protecting this site and its visitors.
Where enquiries go
Submissions are stored in the site’s protected enquiry inbox. Only the authorised business account can view them. The site also attempts to send an email notification to info@keithtimmins.com through FormSubmit. Email delivery depends on the recipient activation and mail service. An on-screen confirmation means the enquiry has been saved successfully in the site inbox; it is not a guarantee of email delivery. No automatic marketing email or visitor confirmation email is sent.
Service providers and international processing
This site is delivered through OpenAI Sites and Cloudflare infrastructure; enquiry records use Cloudflare storage. These providers process technical data needed for hosting and storage. FormSubmit processes enquiry details to deliver email notifications and states that it retains submission archives for 30 days. Read FormSubmit’s privacy terms. If you subsequently email or call, the relevant email or telephone providers also process that communication. Provider infrastructure can process data outside the UK. Applicable provider terms and transfer safeguards govern that processing; the business must maintain the relevant processor arrangements. How long information is kept
Website enquiry records expire 180 days after submission and are removed during subsequent inbox or form maintenance. Expired records are not shown in the inbox. Spam-control entries are removed during maintenance after their short operational period. If an enquiry becomes a client project, necessary correspondence and contract records may be held separately under the retention information supplied with that engagement. Contact me if you need a record removed sooner.
Optional TikTok content
TikTok players and the creator profile load automatically on pages containing them, unless you previously disabled TikTok in the site’s video settings. TikTok receives technical information and may use cookies, advertising or measurement technologies under its own policies. The site does not obtain prior opt-in consent for this automatic loading. You can disable further loading through Video settings, but that does not undo information already shared. See the cookies policy. External social links take you to other sites with their own privacy practices.
Your choices and rights
Depending on the circumstances, you can ask to access, correct or erase information, restrict its use, object to processing based on legitimate interests, or receive portable information. You can disable further TikTok loading using Video settings in the footer. This cannot recall information already shared. Contact info@keithtimmins.com to exercise your rights; reasonable identity checks may be needed. Requests will be handled within applicable statutory timescales.
Concerns or complaints
Please contact me first so I can address your concern. You may also complain to the Information Commissioner’s Office (ICO). Your right to complain is not conditional on contacting me first.
Changes
This notice describes the enquiry and video features currently on this site. It will need updating before adding payments, a client portal, newsletters, analytics or other new processing. Last updated: 13 September 2026.
